PolyMetric Suite - Privacy Note (Draft)

PolyMetric Fabrication LLC (New Hampshire) makes the PolyMetric Suite. This note explains what data the Software handles.

Your data stays on your PC

  • Shop data (customers, quotes, jobs, inspection records, certificates, settings) is stored locally on your computer in: %LOCALAPPDATA%\PolyMetricSuite
  • Your license file is stored in: %PROGRAMDATA%\PolyMetricSuite
  • We do not receive, store or copy your shop data. We do not have a server that holds it.

No telemetry

The Software does not send usage statistics, crash reports, analytics or any other information about how you use it.

Optional update check

  • Once a day, the Software can check whether a newer version exists by requesting: https://software.polymetricfab.com/polymetric/latest.json
  • The same check also fetches our signed list of deactivated licenses: https://software.polymetricfab.com/polymetric/revocations.json. It holds only license ID codes (no names or other details) for purchases that were refunded or lost a payment dispute. Your PC compares it with its own license. Nothing about your license is sent to us.
  • The only information sent is the app version in the request's User-Agent header (for example, PolyMetricSuite/1.0.0).
  • It sends no machine ID, no license information, no customer data and no shop data.
  • The check never downloads or installs any program. You decide whether to get an update.
  • You can turn the update check off in the Software's backup and updates settings. When it is off, no request is made.

Licensing

Activation is done offline by default: the Software shows a request code built from this PC's identifier, and you send that code to us. A license file that we issue is then imported into the Software. Any online activation option sends only the request code and your order key.

Quote requests on our website

If you ask for a shop pack quote on software.polymetricfab.com, the form sends us your company, name, email address, phone number (optional), state and ZIP code, notes (optional) and any request codes you enter. We use them only to prepare your quote, create your one-time checkout link with our reseller Link, email you the quote, and reply to you. We don't add you to a mailing list and we don't sell or share these details. Your email address, company, quote number and request codes are stored with your checkout link at Link/Stripe so your licenses can be issued when you pay. Your state and ZIP code are used for the sales tax shown at checkout.

Spam checks on the form are run by Cloudflare (Turnstile), under Cloudflare's own privacy policy. To limit abuse we keep a short-lived, one-way scrambled count per IP address and email address, deleted automatically within two days; the addresses themselves are not stored for this. Quote records are kept with our business records. To have a quote deleted, email contact@polymetricfab.com.

Email features

If you use the email features, messages are sent through your own mail account using the mail server settings you enter. We do not operate a mail relay and do not see your messages.

Your mail (SMTP) password is kept in the Windows Credential Manager on your PC, not in the Software's data files.

Backups

Backups are written to %LOCALAPPDATA%\PolyMetricSuite\backups and, if you choose, to a folder you pick (for example, a USB stick or network share). They never leave your control unless you copy them somewhere.

Your responsibilities

  • Keep your Windows account, your PC and your backup media secure.
  • If you give copies of your data to someone else (for example, a customer or auditor), that sharing is your decision.
